What Lunan actually does
What do property managers actually use it for?
Capturing what’s happening in a building the exact second it happens, so you never have to take 50-70 photos then go back to your desk trying to remember what you saw in the mechanical room.
Who logs the issues?
You have total control. Property managers, or staff you give access to, usually log them on walkthroughs.
Since we support email and SMS, you also never have to double-enter data. When residents or contractors send an email or text, it lands directly in your dashboard as a draft for you to review, attach to an existing issue, or discard.
When would I open it?
Whenever you need an instant status check across all your buildings, or when you spot a fresh issue on a walk. It’s also your main tool right before a board meeting, or whenever you need to generate a report.
What does logging an issue look like?
Grab your phone, snap a photo of the issue, and let Lunan tag it and draft the ticket. You edit what needs editing.
If you have technicians or experts on call, send them the ticket right there and they get it by email or SMS.
What happens after I log something?
The ticket is now in your workspace, where you can track progress around it: timestamps, updates, and correspondence with your contractors.
Is this for 2:00 AM emergencies or routine work?
Both. Lunan keeps you on top of your regular maintenance routine, and it is just as useful when a 2:00 AM emergency comes up.
Is this just for residential, or does it work for commercial too?
Both. It started with condo boards and multi-residential, but commercial property managers use the same workflow: issues, photos, contractors, paper trail.
When you're walking the building
What happens in a parking garage with zero cell signal?
You can still create issues offline. Lunan stores them as drafts, ready for you to review the moment you walk back into range.
I already have 80 photos on my phone. What then?
Upload them. When you create a ticket you can attach photos you already took, and Lunan drafts the tickets from them.
Can I add a photo after I finish the walk?
Yes. You can add photos to a new ticket or attach them to an existing one.
When someone reports something
Does my staff have to download another app?
No. You can create your in-house team in Lunan, and they get their own list of jobs with the photos and the location already attached.
The philosophy is to make everyone’s life easier, including your staff, so they can carry on with their own workflow.
Can my staff see everything in the building?
Your staff only sees the jobs you have given them access to.
Can residents email an issue instead of calling me?
Yes. A resident can send an email and it goes to an existing issue or a new one, whichever is appropriate.
Does that mean any resident can clutter my work list?
No. There are guardrails so you are not spammed with issues, and you always review and confirm what becomes a ticket.
What if two residents email about the exact same leak?
Lunan flags potential duplicates so you can merge the messages into the existing thread.
Can I forward something from my own inbox into it?
Yes. Forward it to the building address and it arrives as a draft like anything else, with the attachments carried over.
What contractors and boards see
Can a contractor use it without creating an account or downloading an app?
Yes. They can review the issue and submit updates or reports by text, by email, or through a link in their browser.
The philosophy is the same as it is for your staff: let people carry on with the least possible resistance.
Can they just reply to the email instead?
Yes. They can reply to the email and attach their report and any photos there.
Can contractors send me a quote by email and attach it to the ticket?
Yes, so the quote stays on the record with everything else.
My contractors hate writing reports. Will they actually use this?
They do not have to write much. They upload a photo, confirm the work, and that is the report. They can also CC Lunan on the email they already have to send their own company.
For contractors who would rather talk than type, voice-to-text is available.
What do contractors actually see on their end?
The ticket you sent them: the description, the photos, and what needs to be done. They can start work, upload their own photos, submit a scope or quote, and message you, all from their phone browser. No app, no account.
Can the board see what's going on without me sending constant updates?
Yes. Lunan generates a ready-to-share report covering key issues and current statuses, without board members learning new software or creating accounts.
Your board stays in the loop, and you lose the constant back-and-forth.
What do I do before a board meeting?
Export the report for whatever date range the meeting covers. It pulls what was observed, what the board needs to review, what is in progress and what was resolved, with the photos already attached.
You review it, adjust anything that needs adjusting, and send it.
How does this help when I take a vacation?
Whoever covers your properties gets access to a live, central record, so they can see open issues and status updates without a long handover meeting.
You can actually unplug, and you come back to no surprises.
Records, tribunals and reserve funds
How does this help with liability and legal disputes?
If something is ever disputed, what gets looked for is proof of a documented, reasonable maintenance scheme: evidence you maintained the building responsibly, with regular checks logged at the time, with dates.
Lunan creates time-stamped records as the work happens, so you have the paper trail rather than your memory.
What about board protection and good faith?
Board members and managers are protected when they can show they acted reasonably and in good faith.
If a dispute reaches a tribunal or a court, time-stamped records show what action was taken and when.
Can I pull the full history if an owner or lawyer asks?
Yes. An issue exports as a dated, print-ready record.
Why do records requests turn into such a big deal?
Because it is rarely just about the paperwork. Records are usually the first thing an upset owner asks for, and if you cannot produce them, that becomes the issue.
Lunan keeps your maintenance history as one searchable record instead of a mix of emails and photos.
How does Lunan help protect directors from personal liability?
Directors are exposed personally when a decision was not properly documented: no record of due diligence, no paper trail on who approved what.
Lunan makes every observation, recommendation and board decision part of the record, so “we did the diligence” is something you can show.
How does Lunan make our reserve fund update faster and more accurate?
Engineers conducting Class 3 studies remotely can only work from the records you give them.
Lunan links routine repairs and photos to specific building assets as the work happens. At study time you export an asset-by-asset history, so your engineer is working from what actually happened.
How does Lunan connect daily maintenance to our reserve fund study?
Lunan imports your existing study, and tickets are mapped to your building’s asset components.
Because repairs and photos are linked to those assets as you go, your engineer gets a verified aging history when update time comes around.
How Lunan fits how you already work
Do I have to change how I already do things?
No. Logging tickets can feel like extra work, so if sending a quick email or text to your vendor is easier, keep doing that. Lunan captures the details in the background, so you get the record without changing your habits.
How does Lunan help me win my time back?
Lunan does the prep. Instead of writing maintenance logs line by line, it drafts categories and descriptions from a quick photo, so you are confirming rather than typing.
How does Lunan keep my building's records accurate?
You always have the final say. If a description, title or category needs adjusting, you change it on screen before confirming.
Is Lunan customised to how I already work, or do I have to adapt?
We set it up around your existing workflow during onboarding. If you use Rent Manager, we build the connection. If your buildings have specific categories from your reserve fund study, we match them.
Pricing and getting started
How much does it cost?
$199 per month per building, or $1,900 a year paid annually.
No hidden fees and no per-user charges.
Does the price go up if my staff or board members use it?
No. It is flat per building. Site staff, coverage managers, board members and contractors are all included.
How long does setup take?
About 20 to 30 minutes. We onboard you live, set up around your team’s existing procedures, and help you log your first issue on the call.
Do I have to migrate years of old records to get started?
No. Start with what happens from today. Your old records stay where they are, and nothing breaks by leaving them.
What if I don't want to leave my existing issues behind?
Send them over and we bring them in during onboarding, whether that is a spreadsheet, another platform, or a folder of emails.
Can I cancel if it's not working out?
Any time. No long-term lock-in, no retention calls, and your full record exports with you.
Integrations and data
How is this different from Yardi, Condo Control or Buildium?
Lunan is not an all-in-one accounting suite or a resident payment portal. It is focused on work orders, contractor execution, and the paper trail, without asking anyone to adopt another complex system.
Can Lunan talk to the tools I already use?
Yes. Webhooks push updates out of Lunan when something happens — a new issue, a status change, a contractor reply — so your other systems stay current without anyone copying and pasting.
Do I need a developer to set that up?
We walk you through it during onboarding. You tell us where you want updates to land and we connect it. If your team has a developer, they can set up more themselves through the API.
What kind of updates can I push out?
Anything that happens on an issue: created, updated, assigned, closed, a new photo added, a contractor reply. You pick the ones that matter to your workflow.
Can I pull data out of Lunan into my own reports or dashboards?
Yes. The API gives you your issues, photos, timelines and contractor activity — the same data you see inside Lunan — in a format your other tools can read.
Does email still work if I'm also using the API?
Both work at the same time. Your contractors and residents keep emailing, your internal systems listen through webhooks, and everything lands on the same record.
Can you pull in data from the tools I already use?
On the annual plan, yes. We connect to your existing systems during onboarding and bring over your open issues, contacts and history, so you are not running two systems side by side.
Other questions
We use Yardi because we know they won't disappear like other startups
That is fair. Yardi has been around for decades and that counts for something.
Lunan is not trying to replace Yardi. It covers the walk, the work order and the record, not accounting or owner statements. And if you ever do leave, your records export in a form that does not need us to open.
Why should we use yours instead of building it ourselves with AI?
Building software with AI is fast. Maintaining, securing and supporting it across your team is the part that keeps costing you.
With Lunan you skip the maintenance — security, hosting, updates and uptime are ours. You get workflows tailored to how your buildings operate. And support is our job, not something you fit around running properties.
What if we already have a system that kind of works?
Most managers do: a mix of emails, texts, a shared drive, maybe a spreadsheet. It works until someone asks for the record and you spend a weekend reconstructing it.
Lunan does not have to replace all of that. It puts the building’s issues in one place so producing the record is not a weekend.
What if we have a very specific workflow?
